BURSARY DEPARTMENT

The Bursary is the arm of the University that is responsible for the day-to-day administration and control of the financial affairs of the University.

The Bursar, who is the Chief Financial Officer of the University, heads the Department.

He is responsible to the Vice-Chancellor for the day-to-day administration and control of the financial affairs of the University. It has the following Units.

Cash Office

The cash office carries out all treasury services in the Bursary. These include the receipt and payment of cash and other financial instruments such as dividend warrants, draft, cheques etc. The unit also keeps all the relevant cash books and accounts.

Loans and Advances

This Unit is in charge of the various loans which the University Management makes available to staff. Such loans include vehicles, housing and furniture as well as advances for purchase and tours.

Accounts Payable (Creditors)

This Unit is responsible for the preparation of payment vouchers for all payments to staff, suppliers and contactors. It also keeps the files and records of payments including Works Ledger for capital projects.

Salaries and wages

The Unit is responsible for the preparation of staff salaries, allowances, wages and honoraria. It is also responsible for providing data for personnel cost. It is in charge of the University nominal roll and staff running list

Pension, Investment and Insurance

This unit is charged with the responsibility of preparing staff pension and gratuities. It maintains records of the University’s Investments as well as dealing with insurance matters of the University.

Fixed Asset Monitoring The Unit is to maintain the University’s Fixed Assets Register. It keeps track of all University’s fixed assets with regards to location, value and condition of such assets.

IGR The Unit is responsible for co-ordination of all the revenue units of the University with a view to maintaining proper recording of all revenue and developing other sources of revenue generation in the University.

Reconciliation Unit The Unit concentrates in the reconciliation of all the University bank accounts.

Central Stores This is an arm of the Bursary in charge of store and stocks. It distributes materials to Departments and Units in the University

Students’ Account The Unit is responsible for students’ financial transactions and records and keeps ledgers for all Students at graduate and post graduate levels.

Final Account This Unit collates all Bursary operations. It prepares the final accounts for auditing by the External Auditors which will be subsequently submitted to the Council for approval.
